TITLE:          Administrative Assistant

OBJECTIVE: To assists and support all staff members and clients as necessary to provide top quality architectural services.

As an Administrative Assistant, a typical day might include the following;

  • Maintain the front office between the hours of 8:00 am and 5:00pm Monday through Friday.
  • Answer a multi-line phone system and greet visitors in a courteous, professional manner.
  • Schedule conference calls, conference room and maintain calendars.
  • Prepare communications, such as memos, emails, reports and other correspondence
  • Assist any staff member with customer service to client and contractors as needed by performing any office/clerical duties related to everyday tasks or special projects.
  • Prepare and edit documents from letters to reports and instructional documents while maintaining electronic files of all documents.
  • Ensure confidentiality of documents on a Client to Client basis.
  • Contact local, state and national offices to collect information regarding Zoning and Permitting.
  • Prepare documents for printing/shipment as needed (UPS and USPS).

Qualifications;

Proficient in Microsoft Office (Outlook, Word, Excel)

Excellent written and verbal communication skills

Ability to work on/complete on a variety of tasks in a day

Ability to operate copy equipment, printers, or other office equipment as necessary

Ability to collaborate with other administrators and support personnel, management, and clients on a regular basis

Ability to make independent decisions on a daily basis, addressing the best way to handle specific tasks when a supervisor is not readily available.
